Confirm that the account holder, legal entity, address, statement dates, opening and closing balances, deposits, withdrawals, and page counts are visible. Ask before redacting anything.
Reconcile revenue to deposits
Create a monthly bridge from sales to deposited cash. Separate card settlements, checks, ACH receipts, marketplace payouts, owner injections, loans, transfers, refunds, chargebacks, taxes, and cash that has not yet cleared.
Transfers between company accounts can inflate deposit totals if counted twice. Name every operating, payroll, tax, reserve, and merchant account so the reviewer can follow the flow.
Explain pressure points with dates
List overdrafts, negative days, returned items, unusual withdrawals, large one-time deposits, declining balances, existing daily or weekly financing debits, and customer concentration. A short factual explanation should state what happened, whether it recurs, and what changed.
Do not conceal pressure by moving borrowed money between accounts. A clean explanation is safer than a cosmetic balance.
Control access and retention
Confirm whether the provider wants uploaded PDFs, read-only account connectivity, or another method; what periods and accounts are required; who processes the data; and how access can be revoked. Use only the provider’s authenticated channel.
After submission, preserve the exact package and a debt schedule. If review continues into a new month, be ready to provide an updated statement and explain material changes.

02Do transfers count as revenue?
Transfers are not new operating revenue simply because they appear as deposits. Reconcile them to the source account.

Only after verifying the provider, purpose, permissions, data handling, and revocation process. Ask whether another secure method is available.
